Writing
a Letter for Permission to Record a Copyrighted Song
Use the following directions to complete your first
draft of your letter of inquiry to obtain copyright permission.
Step 1: Heading
The heading
includes the sender’s address and the date.
Enter your personal information.
Example: 555 NW Holly Street
Issaquah,
WA 98027
November 22, 2004
Make sure that you
include the correct capitalization and punctuation. The address should be aligned on the
left-hand side of your page.
Step 2: Inside Address
The inside address
includes the name and address of the person or company to whom you are writing.

Step 3: Salutation
“Salutation” is a
fancy word for greeting. Since you don’t
know specific names, you will write :Dear ASCAP or Dear Publisher, etc. Remember
to use the correct capitalization and a colon at the end of the line. Start on the second line below this box.

Step 4: Body
Here is the “meat”
of your letter. First write a 2-4 sentence introduction. Explain who you are and why you are writing
to the committee. Do you want permission to record, arrange, print, perform,
etc. This will be a “mini paragraph.” Start on the
second line below this box.
Step 5: Required
information
Complete the information in the table below.
Click at the end of the line so all the tabs line up.

Step 6: Closing
This will be
another mini paragraph to conclude your letter.
Thank them for their prompt attention and let them know you look forward
to hearing from them soon. Start on the second line
below this box.
Step 7: Signature
This is the final
step to formatting your business letter.
In a business letter, you should close your letter by writing
“Sincerely,”. This
has already been done for you.

Step 8:
You will need to
type your first and last name, leaving a space above for you to actually sign
your letter when you are ready to send it. Type your first and last name on the last
line below this box.

B.The ‘show/hide button’
(an orange button that looks like a paragraph symbol in one of your toolbars
above) is a toggle to take away and return all these green boxes of
information. When you feel your letter is ready, click that button to take the
instructions away and you should be left with your letter. Edit as you need.
DON’T PANIC. If you need to see the instructions again, just click the
show/hide button again.
C.Print. Have it checked by
your instructor. Then properly address an envelope and mail it to your
publisher.
D.CONGRATULATIONS
